What to Do When Notion Database Nesting Is Too Deep

Reader's Question

If my Notion database is deeply nested, how can I view the contents without opening each one individually? Something like a mind map.

My Answer

First of all, Notion does not natively support mind maps, so if you want to manage your Notion databases with a mind-map style approach, this problem is unsolvable from the start.

Now let's analyze why you end up with "deeply nested databases." My guess is that you're trying to use one (or just a few) databases to manage all your documents, which inevitably leads to "multi-level nesting." It's like asking me, "I've created too many subfolders and have to open them one by one — what should I do?" The best way to avoid this situation is simply not to do it — don't try to manage all subfolders under a single top-level folder.

Use the PARA Methodology to Control Nesting Depth

I personally use the PARA management approach to organize my Notion documents. Specifically, P, A, R, and A each represent a top-level database. While there are still sub-databases within each one, the nesting depth never exceeds 3 levels. Otherwise, it becomes not only hard to navigate but also easy to forget what's stored where. Create a Desk Shortcut Page

But asking you to go back and start over from scratch isn't realistic either. So I think you can manually create a page called "Desk." Then manually create shortcut links for the databases (or pages) that you frequently access but are buried deep in the hierarchy.

As the name suggests, think of this page as a "physical desktop or workbench" — place the documents and tools you use most often somewhere convenient and easy to reach, and update it periodically.

Although the screenshot below is from Heptabase, the principle is universal, because whiteboards also run into the same deep-nesting problem.

Start from Specific Problems

This is actually a very large, systemic issue. It's not just about Notion databases — all note-taking apps run into the "too many levels of nesting" problem, and a brief answer can't possibly cover everything. I suggest you start from more specific problems, share relevant screenshots, and we can tackle them one by one, rather than giving overly general advice.
