Whether it's a certification exam, entrance exam, language test, or professional qualification, the preparation process is often long and tedious. You need to manage a large amount of study materials, memorize countless knowledge points, and complete all learning tasks within limited time.
With the FLO.W Notion Template, you can transform scattered study content into a well-structured, trackable project, keeping your entire preparation process organized.
Overview of the Approach
In FLO.W Notion template, exam preparation can be organized as follows:
| FLO.W Notion template Module | Content | Example |
|---|---|---|
| Project | An exam | CET-6 English Test |
| Task | Subject/chapter review | Listening practice, reading comprehension |
| Note | Knowledge points, mistakes, summaries | Writing templates, high-frequency vocabulary |
| Clipper | Study materials | Online courses, reference books, strategy guides |
The core idea is: Treat an exam as a project with a clear deadline to manage.
Create a Study Project
First, create a dedicated project for your exam.
Navigate to [Projects] from the top navigation bar, then create a new page in the [Project Category - Learning] database view
Enter the project name, including the exam name and date, such as "June 2026 CET-6 Preparation"
Set the [Schedule Date] so you can clearly see how much preparation time remains
Link the project to an appropriate [sub-Area], such as "English Learning" or "Exam Preparation"
If you haven't created a corresponding sub-Area yet, you can skip this step for now and add it later. For more about Areas, see Area Property

Break Down Study Tasks
After creating your study project, the next step is to break down the extensive content into specific tasks.
Enter the study project page you just created. You'll find it has automatically created [Linked Courses] and [Learning Progress Management] modules

The [Linked Courses] module lets you record specific courses
The [Learning Progress Management] module lets you break down specific learning tasks, for example:
- Vocabulary Day 1: Lists 1-5 first round (about 250 words)
- Vocabulary Day 2: Lists 1-5 review + Lists 6-10 new words
- Listening practice: 2025-06 Section A (news listening)
- Timed reading: 2025-12 Set 1 Passages 1-2
- Writing template collection: 5 essay intro/conclusion patterns
- Translation phrases: 10 common Chinese culture expressions
Set [Schedule Date] for each learning task based on exam priorities and your weak areas. For more details about task properties, see Task Properties
Organize Study Notes
During your review, you'll generate many notes: knowledge summaries, mistake logs, formula quick reference, etc. FLO.W Notion template's Note system helps you manage these in an organized way.
At the bottom of your study project page, you can see the [Study Notes] module. Click the corresponding button to create [Study Notes] or [Question Notes].

Notes created here will automatically link to your study project. If time permits, you can also set note category, editing progress, and other properties. For more details about notes, see Note Properties
Use Topic Notes to Aggregate Content
If you have many knowledge point notes that belong to the same concept, you can create a "XXXX Topic Note" as a summary page.
For example, create a note called "CET-6 Core Grammar and Sentence Patterns Summary", then set related knowledge point notes as its "children".
For detailed information about topic notes and parent-child relationships, see Topic Notes and Parent and Child.
Manage Materials with Clipper
During preparation, you might collect various study materials: online strategy guides, past exam analyses, video courses, reference books, etc. FLO.W Notion template's "Information Port" module helps you manage these materials in one place.
Track Preparation Progress
When you complete learning tasks, the top of this study project will automatically calculate project progress, clearly showing how much preparation is done.
After completing a study task, change the task status to [Completed]
Return to the study project page to see the progress bar automatically update
On the Homepage [Dashboard], you can also see a progress overview of all ongoing projects
Through progress tracking, you can:
- Visually see how much preparation is complete
- Discover which subjects/chapters haven't started
- Ensure all tasks are complete before the exam
Managing Multi-Section Exams (CPA, Professional Certifications)
Some exams aren't just "one subject" — they contain multiple sections, each with various topics. For example:
- CPA Exam (Certified Public Accountant): 4 sections — AUD (Auditing), BEC (Business Environment), FAR (Financial Accounting), REG (Regulation)
- CFA Exam (Chartered Financial Analyst): Level I, II, III, each covering multiple subjects
- Professional certifications: Such as bar exams or medical licensing, typically requiring preparation for multiple subjects
For these complex exams, the "one exam = one project" approach introduced earlier may not be sufficient. In this case, you can use a sub-Area + Select field combination.
Recommended Structure
Using the CPA Exam as an example:
| FLO.W Notion template Level | Content | Example |
|---|---|---|
| Sub-Area | Exam category | CPA Exam |
| Project | Specific course or focused training | Becker FAR Course, AUD Practice Questions |
| Task | Course chapters / daily practice | Chapter 1: Financial Statements, 50 MCQ practice |
| Note | Knowledge points, mistake summaries | Depreciation formulas, audit procedure key points |
Why Use a Sub-Area Instead of a Project?
You might think: Why not make "CPA Exam" one big project and put the 4 sections as tasks? Wouldn't that be simpler?
Technically yes, but this approach has several problems:
- Task hierarchy becomes too deep: CPA (Project) → FAR (Task) → Course chapters (?) → Daily practice (?) — too many levels, exhausting to manage
- Progress tracking isn't intuitive: It's hard to see how much of the "FAR" section is complete overall
- Courses and practice mixed together: You might be studying courses while also doing practice questions — these are two independent "projects" that get messy when mixed in one task list
With "CPA Exam" as a sub-Area:
- You can create multiple projects under this Area (FAR Course, AUD Practice, Mock Exams)
- Each project has independent progress tracking
- Through the Area, you can see all CPA-related content
Use Select Fields for Section Classification
CPA has 4 sections. If you want to track progress for each section, you can add a [Section] Select field to projects:
In [My Projects DB] database, add a new [Select] type property named "CPA Section"
Set options: AUD, BEC, FAR, REG
When creating projects, select the corresponding section. For example, "Becker FAR Course" selects "FAR", "AUD Practice Questions" selects "AUD"
Group by "CPA Section" in the database to see which projects exist under each section and their progress
Multi-Dimensional Progress Tracking
With this structure, you can track progress from multiple dimensions:
- Individual project progress: Each course/practice set has its own completion percentage
- Section dimension: Filter by "CPA Section" field to see status of all projects under a section
- Overall dimension: In the sub-Area "CPA Exam" page, you can see all linked projects
If you need more complex progress statistics (like automatically aggregating completion rates by section), you can ask in the template community group for targeted guidance.
