You watch others' videos thinking "I could do that too"; you see viral content and wonder "what if I made something like this?" But when you open your computer, you don't know where to start. Topic selection, filming, editing, promotion... each one feels like a small mountain to climb.

What's even more frustrating is that many people give up after just a few posts. Not because they lack ability, but because there's no system helping them see progress and maintain momentum.

With the FLO.W Notion Template, you can build a complete content creator management system — from initial inspiration to planning your first content, from establishing a creative rhythm to tracking your growth journey. We'll use Bilibili as an example, but this approach works equally well for Douyin/TikTok, Xiaohongshu/Little Red Book, WeChat Official Accounts, and any other content platform.

You don't need to build a complete system from the start. Begin with "recording one Topic, completing one piece of content," and the system will naturally grow as you use it.


The Minimum Viable Start from Zero

If this is your first time creating content, don't overthink it, just make your first piece.

The minimum startup path only requires three steps:

Record your first Topic

Open the FLO.W Notion template Homepage, click the [Topic] Quick Note button, and write down that "content idea" in your head.

It doesn't need to be fully formed — even just "share my desk setup" or "review a keyboard I recently bought" is enough.

Start creating this content

Navigate to the [Project] module via the top navigation bar, find the [Content Creation] section where you can see all collected Topics. Find the Topic you're motivated to create, click the [Start Creating] button, and the system will automatically create a Project and generate production Tasks for you.

Complete and publish

Follow the Task checklist to complete production, then publish your first piece of content.

Congratulations! You've gone from "wanting to do it" to "having done it."

Step One: Establish Your Creative Area

When you decide to seriously pursue content creation, the first thing is to "declare" this direction in FLO.W Notion template.

Create an Area: Content Creation

An Area represents a direction you invest in long-term in your life. If you decide to seriously pursue content creation, "Content Creation" becomes one of your Areas.

Navigate to the [Area] module via the top navigation bar

Click [New] in the Area section

Name it "Content Creation" (or whatever you prefer, like "Social Media" or "Creator Journey")

Create a sub-Area: Your Specific Channel

sub-Areas are your specific "battlefields." Each platform and account can be a sub-Area.

For example:

  • Bilibili: My Bilibili Channel
  • Xiaohongshu: XX's Xiaohongshu
  • Douyin: Douyin Account

On the Area page you just created, find the [sub-Area] section

Click [New] to create your first sub-Area

Name it after your channel, like "My Bilibili Channel"

Step Two: Accumulate and Filter Topics

The biggest fear in content creation isn't lacking inspiration — it's letting inspiration slip away when it comes.

Record Topic inspiration anytime

FLO.W Notion template provides multiple ways to record inspiration. Choose based on the situation:

Habit to develop: Record ideas immediately whenever they come, even if it's just one sentence. Don't think "I'll record it later" — inspiration will escape.

Filter your next content

Once you've accumulated many Topics, you'll need to filter. Ask yourself three questions:

  1. Can I do this now? — Do I have the equipment, skills, and time?
  2. Is this Topic valuable? — Useful or interesting to the audience
  3. Am I motivated to do it? — Content you're interested in is easier to stick with

Choose a Topic that satisfies all three as your next content.

Step Three: Start a Creation Project

When you decide to start working on a Topic, you can launch a "Creation Project."

From Topic to Project

Navigate to the [Project] module via the top navigation bar, find the [Content Creation] section

In the Topic list, find the Topic you're motivated to create, click the [Start Creating] button

The system will automatically create a Project and associate it with your sub-Area

Choose content type

After clicking [Start Creating], you'll see content type options (like [Bilibili Video] [Article Creation]). After selection, the system will automatically generate the corresponding Task template.

For Bilibili video, the default Task workflow might include:

  • Write script/outline
  • Film footage
  • Edit production
  • Design thumbnail
  • Publish upload

Set Schedule Date (optional)

If you want to maintain an update rhythm, you can set Schedule Dates for Tasks:

  • Set target publish date for the "Publish upload" Task
  • Work backwards for completion times of other Tasks

This way you can see creation progress in the Homepage schedule section, making it harder to procrastinate.


Step Four: Plan Content Matrix (Advanced)

After creating several pieces of content, you might want to create "series content" or plan longer-term update schedules.

Use Projects to manage series content

If you have a series of Topics (like "Beginner Trilogy" or "XX Review Series"), create a dedicated Project to manage them uniformly:

Create a new Project in the Project center, name it after the series

Plan what content this series includes on the Project page

Create Tasks for each piece of content, track overall progress

This way you can see the completion status of the entire series on one page.

Establish publishing rhythm

Maintaining a stable update frequency is important for account growth. You can:

  1. Plan next month's publishing schedule on the Project page
  2. Set Schedule Dates for each content's "Publish" Task
  3. View publishing rhythm in the Homepage schedule section


Step Five: Use Information Harbor to Accumulate Materials

Content creation requires substantial "input": watching others' content, collecting industry news, accumulating creative materials.

Clip competitors and inspiration sources

When you see excellent similar content, save it using FLO.W Notion template's Web Clipper feature:

  • Record what makes this content good
  • Analyze its Topic, title, thumbnail
  • Use as reference when creating

Organize industry news and knowledge

Besides competitor analysis, you might also collect:

  • Industry trend reports
  • Creation technique tutorials
  • Tool usage methods

All of these can be clipped to Information Harbor, and organized into your creative knowledge base through "linked Notes."

Step Six: Record Data and Milestones

The most discouraging thing about content creation is "feeling like you're not making progress." Data recording and Milestones are tools to help you see your progress.

Regularly record key data

Consider creating a "Data Tracking" Note, regularly (weekly or monthly) recording key metrics:

  • Follower count
  • Cumulative views
  • New views this week/month
  • Best performing content data
  • Revenue (if any)

You can use Topic Notes to organize these records:

  • Create a main Note "Bilibili Data Tracking"
  • Create a sub-Note "January 2026 Data" each month
  • This gives you both an overall view and detailed records

Establish Milestones

When you achieve something worth commemorating, create a Milestone on your sub-Area page:

Good times to create Milestones:

  • First content published
  • First 100/1000/10000 followers
  • First video over 10000 views
  • First advertising collaboration offer
  • First creation income
  • Consistent updates for 3 months/6 months/1 year

When creating a Milestone, consider writing:

  • What this achievement means
  • How you achieved it
  • How you felt at the time

These review notes will be especially valuable when looking back in the future.


Step Seven: Review and Experience Documentation

The biggest waste in content creation is: finishing and forgetting, making the same mistakes repeatedly.

Single content review

3-7 days after publishing each piece of content, come back to check data performance, record in the Task or Project page:

  • How did this content perform?
  • What was done well?
  • What could be improved?
  • What does audience feedback indicate?

You don't need to write a lot, a few sentences is enough. What's important is forming the habit.

Periodic summaries

Every month or quarter, do a more comprehensive review:

  • How many pieces of content did you create during this period?
  • Which performed best? Why?
  • What difficulties did you encounter? How did you solve them?
  • What's the focus for the next phase?

These reviews can be recorded in Notes and associated with your sub-Area.

Document experience as knowledge

When you discover reusable experience, organize it into independent Notes:

  • "Bilibili Thumbnail Design Tips"
  • "Common Characteristics of Viral Topics"
  • "Efficient Editing Workflow"

These Notes will become your "creative methodology," making your work smoother over time.
