Overview of Travel Planning
In FLO.W Notion template, a trip can be organized as follows:

The core idea is: Treat each trip as a Project, with all related information accessible within the Project page.
Project Types and Category Views
In FLO.W Notion template, Projects have a [Project Type] Property, including: Study, Gaming, Travel, Work, Creative, and Life.
When you enter the [Project] hub, you'll see a "Project Categories" section with different tabs by Project type: Work, Life, Creative, Study, Travel. Click the "Travel" tab to see all travel-type Projects.
This means you have two ways to manage travel Projects:
- Through Project Categories: View and manage in the "Travel" tab of the Project hub
- Through Travel Plan View: Use the dedicated travel planning module (introduced below)
Both methods give you access to your travel Projects. Choose whichever works best for you.
Understanding the Travel Plan Module
Besides the Project category view, FLO.W Notion template's [Project] hub also has a dedicated [Travel Plan] view with richer travel management features.
Enter the [Project] hub from the top navigation bar
You'll see a secondary navigation bar at the top. Find and click the [Travel Plan] button
You'll see two sections:
- Places I Want to Visit: A wishlist for collecting travel inspiration
- Trip: Actual travel Projects, categorized by status (Doing / Todo / Done)
"Places I Want to Visit" is perfect for recording destinations you'd like to visit someday - like when you see an inspiring travel video, save it for later. When you actually decide to go, create a Trip Project for detailed planning.
Creating a Travel Project
When you've decided to embark on your journey, create a travel Project.
In the [Travel Plan] view's Trip section, click [New]
Enter the Project name. Include the destination and dates, e.g., "2026 Spring Festival - Yunnan Dali & Lijiang"
Confirm [Project Type] is set to "Travel" (automatically set when creating from Travel Plan view)
Set the [Schedule Date] with your departure and return dates
Click to enter the Project page. You'll find FLO.W Notion template has preset several useful modules for travel Projects:
- Itinerary Management: Manage pre-trip preparation Tasks and daily schedules during the trip
- Packing List: An 8-category packing checklist
- Linked Guides: Collected travel resources
Area Assignment for Travel Projects
In FLO.W Notion template, Projects belong to sub-Areas. Whether to assign an Area to your travel Project - and which one - depends on what travel means to you.
No Area - Just Use Travel Plan
If you only travel occasionally and view it as a small life event, you don't need to set an Area. Managing trips directly in the [Travel Plan] view is sufficient - this is what most people choose.
Create a "Travel" Sub-Area Under an Existing Top-Level Area
If you already have a "Life" or "Leisure" top-level Area, you can create a "Travel" sub-Area under it, then assign your travel Projects to this sub-Area. This way, travel is grouped with your other life-related Projects for unified viewing.
Create a Standalone "Travel" Top-Level Area
If travel is important to you - perhaps you're a travel enthusiast with multiple trips planned each year, or you want to systematically accumulate travel experiences - consider creating a dedicated "Travel" top-level Area with sub-Areas underneath (like "Domestic Travel" or "International Travel").
Benefits of this approach:
- All travel Projects are centrally managed, forming your "travel archive"
- Travel-related Notes and guides can be categorized under this Area
- Easy to review and reflect on your travel experiences
Assign Based on Trip Purpose
Sometimes, a trip may serve other purposes. For example:
- A trip for landscape photography → Assign to a sub-Area under "Photography"
- Company team building or business trip → Assign to a sub-Area under "Work"
- Family vacation with kids → Assign to a sub-Area under "Family"
This approach links the travel Project with its true purpose.
Breaking Down Pre-Trip To-Dos
After creating your travel Project, the first step is listing everything you need to do before departure.
In the [Itinerary Management] module on the Project page, you can add various to-do items. Here are some common Task types:
Booking Tasks
- Purchase round-trip flights/train tickets
- Book hotels or vacation rentals
- Reserve popular attraction tickets (some require booking a week in advance)
- Car rental/private car booking
Confirmation Tasks
- Verify passport/ID validity
- Check visa status (for international travel)
- Purchase travel insurance
- Confirm hotel check-in and check-out times
Research Tasks
- Check destination weather forecast
- Plan daily routes
- Collect restaurant and attraction recommendations
- Learn about local transportation
Find the [Itinerary Management] module on the Project page
Click to add a Task, enter the Task name, e.g., "Book 2/10 Shanghai→Dali flight"
Set a [Schedule Date] for Tasks with specific deadlines - for example, it's best to book flights a month in advance
Check off each completed item; Project progress updates automatically
Using the Packing List
Travel Projects come with a complete [Packing List] preset, containing 8 categories to help you systematically organize your luggage.

Find the [Packing List] module on the Project page
Add or remove items based on your destination and travel type. For example:
- Beach trip: Add swimwear, sandals, snorkeling gear
- Mountain trip: Add down jacket, hand warmers, non-slip boots
- International trip: Confirm passport, visa, power adapter
Check off items as you pack to ensure nothing is forgotten
Organizing Travel Guides
When planning a trip, you might collect guides from various platforms: itinerary recommendations from social media, attraction introductions from travel sites, restaurant bookmarks from review apps... All this information can be centralized in FLO.W Notion template.
Install FLO.W Notion template's Web Clipper extension
When you find useful travel guides while browsing, click the clipper button to save
Return to your travel Project page and link the clipped content to the current Project in the [Linked Guides] module
Now all guides related to this trip are centralized on the Project page, ready for quick reference
Content you can collect includes:
- Overall destination guides (itinerary planning, tips and warnings)
- Detailed attraction information (opening hours, ticket prices, visiting tips)
- Restaurant recommendations (must-try foods, average prices)
- Transportation guides (airport to city center, getting between attractions)
- Accommodation reviews (hotel photos, stay experiences)
Pre-Departure Checklist
The day before departure, open your travel Project page for a final check:
Check [Itinerary Management]: Are all Tasks completed? Does the Project progress show 100%?
Check [Packing List]: Are all items checked off? Any important items missing?
Browse [Linked Guides]: Screenshot key information (hotel address, attraction reservation codes) to your phone in case you're without internet
When the Task progress bar turns fully green and all packing list items are checked, you're ready to go with peace of mind.
Recording Travel Memories
Meeting interesting people, tasting unforgettable food, capturing stunning scenery during your trip... These precious moments are worth recording.
Travel Projects support linking Notes (via the [Linked Notes] field). You can record travel memories in several ways:
Method 1: Record Directly on the Project Page
Add text and images directly at the bottom of your travel Project page. This is the simplest method, ideal for quick notes.
Method 2: Use Quick Note on the Homepage
Open the FLO.W homepage, click the [Quick Note] button to jot down your thoughts instantly. Organize them into your travel Project later.
Method 3: Use the Topic Notes System
For more systematic recording, use FLO.W's Topic Notes feature:
- Create a main Note titled "2026 Yunnan Trip"
- Create sub-Notes for each day: "Day 1 Dali Ancient Town," "Day 2 Erhai Lake Cycling," "Day 3 Lijiang Ancient Town"...
- On the travel Project page, link the main Note via the [Linked Notes] field
This way, your travel memories form a complete topic - manageable in the Note hub and quickly accessible from the travel Project.
After the Trip
After your trip ends, change the Project status to [Done]. The Project will disappear from the "In Progress" view, but all your records (guides, checklists, photo notes) will be preserved.
Next time you visit the same destination, or when friends ask for recommendations, open this Project to find all the information.
